End Of Year Closing Information
Lycoming College Campus Housing closes for the 2024-2025 Academic year: Friday, May 2nd, 2025, at 6:00 p.m.
- Meal service ends on Friday, May 2nd, at 3pm.
- CHECK OUT DEADLINES:
- Students who have final exams April 28th – May 2nd are required to leave campus within 24 hours of their last final exam.
- All residents (including those who are staying through graduation) are expected to read and follow the check-out instructions outlined below to avoid student account charges.
Check-Out Instructions for All Campus Residences
There are two "proper" check-out methods from which to choose: Express-Check-out or Scheduled Check-out. All students must choose one of these methods and follow the guidelines below to avoid administrative charges or fines. Regardless of which check-out method is chosen, a final inspection will be done at a later date by a Residential Life Professional Staff member; a final assessment of the campus residence condition for billing purposes will be done at that time. Failure to follow proper check-out procedures, including registering to stay after closing, may result in an additional $50 fine.
- All College Property must be present and in the same condition as noted on the check-in RCR. Residents will be billed repair/replacement costs for damaged (beyond normal wear and tear) or missing items.
- The Campus Residence must be clean and in the same condition as noted on the check-in RCR; if not, a minimum of $50.00 may be billed to the residents for excessive cleaning.
- All Personal Belongings must be removed from the campus residence at the time of check-out.
- All Trash must be removed from the campus residence and placed in the proper receptacles; if not, a minimum of $50.00 may be billed to the residents for removal of non-College furniture or trash.
- All Campus Residence Keys must be returned to Residential Life Staff at the time of check-out. Residents who fail to return keys will be billed a minimum of $35/lock to change the lock cylinder and replace keys.
Express Check-Out
Available to students who choose not to schedule an appointment for check-out prior to 6 p.m. closing on May 2nd and the only option available for any student who is approved to stay beyond closing on May 2nd at 6:00 p.m. In other words, when choosing this option residents do NOT need to schedule an appointment with a RA or AD to check out of their campus residence.
To check out using this option:
- Residents must obtain an Express Check-out form from a(n) RA, AD, ACF or the Res Life Office (during business hours), or the Office of Public Safety (after hours).
- The form must be completed and signed and returned to the proper staff - RA, AD, or the Res Life Office- with campus residence key(s) in the envelope provided.
- Paperwork and/or key(s) may not be left in the campus residence or with a friend/roommate. This constitutes an "Improper Check-out" and a charge of $50 to the student account.
- Paperwork and key(s) may be turned in to the Office of Public Safety if a resident is checking out "after hours" and appropriate staff cannot be located.
A final inspection will be done at a later date by a Residential Life Professional Staff member; a final assessment of the campus residence condition for billing purposes will be done at that time.
Scheduled Check-Out
Available when scheduled in advance and only for residents who are leaving prior to 6 p.m. closing on May 2nd. In other words, this option requires a previously scheduled appointment and is not available for any student who is approved to stay beyond closing on May 2nd at 6:00 p.m. Contact your RA, ACF, or AD for details.
To check out using this option:
- Each resident will need to schedule an appointment by contacting the appropriate Residential Life Staff (RA, ACF, or AD) a minimum of 24 hours before the time they intend to leave campus. Residents need to keep in mind that-
- RAs are students as well and must schedule check-out appointments around their own study time and exams.
- Last-minute check-out requests cannot always be honored.
- Residents may have no choice but to do an Express Check-Out if an appointment has not been scheduled ahead of time.
- It is recommended that, if possible, all roommates be present during the review of the residence.
- Damage or cleaning charges will be split evenly between all residents in a campus residence unless-
- It is clear which resident is responsible.
- The RA, ACF, or AD is informed differently at check-out, in other words, if a specific resident takes responsibility.
Since the resident is to be leaving campus shortly after the Check-out appointment, the RA, ACF or AD will:
- Do an initial inspection for damages and an inventory of College property.
- Note any damages on the RCR and collect the resident's key(s).
- Sign and have the resident sign the RCR.
- Give the resident a copy of the RCR.
A final inspection will be done at a later date by a Residential Life Professional Staff member; a final assessment of the campus residence condition for billing purposes will be done at that time.
Request to Stay After Hall Closing
As stated above, unless a student has been granted permission to stay on campus after the 6 p.m. closing on May 2nd, they are required to leave campus within 24 hours of their last final exam.
The deadline to request to stay after closing on May 2nd (via online form) is April 23rd at 12:00 midnight.
